Avoma

AI meeting intelligence that turns calls into CRM updates, revenue signals, and agent workflows.

Avoma is a revenue meeting platform that records calls, transcribes them, creates notes, and syncs structured information to CRM records. Its conversation and revenue tools analyze call patterns, surface deal risks, and let agents act on meeting data through workflow, API, and MCP connections.

Avoma connects meeting capture to revenue operations

Avoma is substantially broader than a transcript archive. Its meeting assistant records calls, creates real-time transcripts, generates notes, drafts follow-up emails, and writes structured fields into connected CRM records. The vendor says the CRM function can link recordings, transcripts, and notes to the right deal, contact, and opportunity automatically, including methodology fields such as MEDDIC, BANT, and SPICED. This makes the product a conversation intelligence system with a meeting capture layer rather than a standalone note taker. Its meeting assistant page describes the post-call work, while its recording page specifies calendar based recording rules, participant consent, searchable transcripts, notes, and two-way Salesforce and HubSpot sync.

The scope also includes scheduling and lead routing, call scoring and coaching, and revenue intelligence. Avoma's main product page groups those into Meeting Assistant, Scheduler and Lead Router, Conversation Intelligence, and Revenue Intelligence. This matters for a buyer evaluating the entry plan: the $29 monthly recorder-seat price starts with the meeting assistant, while conversation and revenue intelligence are separately listed add-ons on the current pricing page.

Agents act on revenue signals within defined controls

The agentic product is not limited to answering a question about a single call. Avoma says an agent can start when a meeting ends, when a deal goes quiet, or at a set time, then examine conversations and revenue records, create reports, update connected systems, and notify people. Its agentic workflow page says routine work runs on its own, while judgment calls land on a person. The same page shows a drafted follow-up awaiting AE approval, alongside completed CRM note and deal-stage updates.

Access is constrained by agent type. The vendor says personal agents can use meetings a person can access, including private meetings, whereas cross-team agents use organization and publicly visible meetings only. Avoma also publishes a scoped API key guide that limits keys to a user's non-private meetings, everything a user can see, or non-private meetings across the organization. Legacy keys are a notable exception: the documentation says they retain full organization access until revoked.

MCP provides both retrieval and selected write actions

Avoma has a public MCP server for Claude and ChatGPT. According to the MCP page, an assistant can retrieve transcripts, notes, summaries, action items, scorecards, and meeting results by account, rep, date, or topic. It can also use Ask Avoma through MCP or the external API. With write access enabled, the page says agents can classify meetings, log outcomes, set privacy, and push interpreted information to downstream tools.

That is a more capable connection than a read-only search integration, but it needs organization controls. The same page describes a Settings dashboard showing the people and AI tools connected to Avoma, their access level, connection date, state, and tool usage. Separately, Avoma's API documentation describes programmatic access to recordings, transcripts, summaries, notes, and coaching insights, but says API access is available on select plans, has a 60-request-per-minute limit, and requires administrator-managed credentials.

Pricing starts per recorder seat, with free viewers

The practical starting price is $29 per recorder seat each month on Startup, with viewers free. The annual selection shows $19 per recorder seat per month, and the page prints Save up to 33%. Startup is capped at 25 paid seats and Organization at 100, while Enterprise has a 10-seat minimum and is annual only. Conversation Intelligence and Revenue Intelligence are additional $29 per seat per month add-ons on annual billing.

There is a real free path, but it is limited. Pricing promises an unrestricted 14-day Organization-plan trial with all add-ons enabled and says viewers and collaborators are always free. The company also says no credit card is required. A buyer who needs Avoma to record meetings should therefore treat the trial as evaluation access and the $29 Startup monthly rate as the self-serve paid starting point. Enterprise asks buyers to schedule a demo, so not every purchase route is self-serve.

Published privacy promises conflict with the privacy policy

Avoma's security page says it maintains SOC 2 Type II and ISO/IEC 42001:2023 certifications, supports GDPR compliance, encrypts customer data at rest and in transit, and hosts software in AWS facilities in the USA. Its security checklist adds that customer meeting data is never used to train AI models and that the commitment can be confirmed in enterprise agreements. It also says administrators can set retention periods for recordings and transcripts, though its price page presents custom retention policies as an Enterprise feature.

The broader privacy policy is narrower in one explicit place: it says Google Workspace API data is not used to develop, improve, or train generalized AI or machine-learning models. Elsewhere, it says personal information is used to make the service better and continue developing it, and permits use of anonymous or aggregated information for testing, development, control, and operation. Those statements do not resolve the difference between the strong meeting-data claim and the policy's more limited language. Buyers with strict training restrictions should seek the enterprise contractual wording rather than relying on the checklist alone.

Account termination allows export but has term limits

Avoma's terms allow termination for convenience with 30 days' prior written notice. It takes effect at the end of the current subscription term and is not refundable. After termination, customers can export their data for 30 days, after which Avoma says it will delete customer personal data within 30 days or sooner on request, subject to backup, archival, and legal-retention exceptions in its data processing addendum.

The exit path has documented per-meeting downloads. The help center guide lets a host, participant, administrator, or the host's manager download the recording, transcript, or both. Video, audio, and VTT or TXT transcript formats are named. Avoma is cloud SaaS on AWS and explicitly says on-premise deployment is unavailable. Its terms provide no written uptime percentage and instead state that it cannot guarantee uninterrupted or error-free service.
